Privacy Policy

This Privacy Policy explains how PH Dental collects, uses, shares, and protects your personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and issuances of the National Privacy Commission (NPC).

1. Who we are

PH Dental is a dental clinic directory and appointment booking platform for the Philippines, operated by JIO Software Development Service (the "Operator", "we", "us"). For the purposes of the Data Privacy Act, we act as a personal information controller for the data you provide directly to us, and as a personal information processor for certain data that dental clinics manage through our platform.

2. Personal data we collect

We collect only the data we need to run the service:

  • Account data — your name, email address, and password (stored hashed) when you create a patient or clinic account.
  • Booking data — your name, contact number, email address, chosen clinic, dentist, service, and appointment date and time when you book an appointment, with or without an account.
  • Review data — ratings, review text, and any photos you choose to upload when reviewing a clinic.
  • Clinic data — business details, addresses, contact information, staff names, services, and pricing submitted by clinic operators.
  • Communications — messages you send us through the contact form or support tickets.
  • Technical data — session cookies and similar data strictly necessary for the website to function and remain secure (e.g. login sessions and protection against cross-site request forgery). We do not use advertising or cross-site tracking cookies.

3. Sensitive personal information

Appointment details (such as the dental service you book) may reveal information about your health, which is sensitive personal information under the Data Privacy Act. We collect it only with your consent, use it solely to facilitate your appointment with your chosen clinic, and apply stricter safeguards to it.

4. Why we process your data

  • To create and manage your account, and let you sign in securely.
  • To transmit your booking request to the clinic you selected, and to send you confirmations and reminders by email or SMS.
  • To publish reviews you choose to post, and let clinics respond to them.
  • To list and present clinic information to the public (for clinic operators).
  • To respond to your inquiries and support requests.
  • To keep the platform secure, prevent abuse, and comply with legal obligations.

Our lawful bases are your consent, the performance of our services to you, our legitimate interests in operating and securing the platform, and compliance with Philippine law.

5. Sharing your data

We do not sell your personal data. We share it only with:

  • The clinic you book with — your booking details are shared with that clinic so it can serve you. The clinic is responsible for its own handling of your records as a personal information controller.
  • Service providers — providers that help us deliver the service, such as SMS and email delivery gateways and payment processors (for clinic subscriptions). They may process data only on our instructions.
  • Authorities — when required by law, court order, or a lawful request of a government agency such as the NPC.

6. Data retention

We keep personal data only for as long as necessary for the purposes above, to comply with legal and regulatory requirements, or to establish or defend legal claims. Account data is kept while your account is active; booking records are retained as part of the clinic's appointment history; you may request deletion as described below.

7. Security measures

We implement organizational, physical, and technical security measures appropriate to the risks, as required by the Data Privacy Act, including encrypted connections (HTTPS), hashed passwords, access controls, and security headers. In the event of a personal data breach that is likely to give rise to a real risk of serious harm, we will notify the NPC and affected data subjects within the period required by NPC regulations.

8. Your rights as a data subject

Under the Data Privacy Act, you have the right to:

  • Be informed about how your data is processed.
  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erasure or blocking of data that is outdated, unlawfully obtained, or no longer necessary.
  • Object to processing, including for direct marketing.
  • Data portability — obtain a copy of your data in a commonly used format.
  • Damages for violations of your rights.
  • Lodge a complaint with the National Privacy Commission (privacy.gov.ph).

9. Children

Our services are not directed at children. Bookings for minors should be made by a parent or legal guardian, who is responsible for the accuracy of the information provided.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be announced on this page with a new "Last updated" date. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
